Reservation Policy

for agencies

A. GENERAL:

Reservation requests will be received by email: reservas@sumaqhotelperu.com
Your request will be answered within a maximum of twenty-four (24) hours. In the case of groups the period to respond will be within forty-eight (48) hours.

Inquiries regarding availability may be made to the reservations person by calling 511 950 522 269. Please do not call the hotel directly.

The availability given by the reservation person via telephone is not considered a confirmation.

A reservation code will be assigned to your request.
Status will be granted according to availability on the requested date.

In the case of being wait listed, you will be informed of the closest alternative dates for confirmation.

If you do not receive a reply, please contact our reservation center at 511 950 522 269.

All reservations must include the following information:

  • Complete name of the guest and/or group
  • Nationality
  • Date of arrival and departure
  • Type of room required
  • Number of guests
  • Arrival form (Inca Trail, train), hour of arrival and departure
  • Complete name of the person and company requesting the reservation

Early departure from the hotel; meals or excursions not taken; reductions or non-consumption of services that were reconfirmed or paid but not used, are non-refundable and will be considered as having been used.

We recommend that our clients have travel cancellation insurance for emergencies, illnesses, and logistical or other problems.

B. RESERVATIONS AND APPLICATION OF DEADLINES:

The terms and rates granted at the beginning of the reservation will be respected until the end. Subsequent changes are not allowed due to reduction of passengers.

Confirmation emails will indicate the deadlines for sending the preliminary and final reservation lists.

Sending the preliminary list is an indicator that the reservation is confirmed and will not be completely canceled. Only a reduction of two rooms without names will be accepted up until the date indicated in our confirmations.

If the preliminary list for groups or the reconfirmation of FIT is not received by the indicated deadline, the reservation will be automatically canceled.

Reservations received less than thirty (30) days prior to the date of arrival must be 100% paid within the designated time.

If payment is not made within the indicated timeframe, the hotel reserves the right to cancel the reservation.

NO SHOWS: Reserved nights will be charged at 100%, including 10% service charge.

Final guest list must include:

  • Complete name
  • Nationality
  • Date of birth
  • Occupation
  • Address
  • Copy of passport
  • Arrival and departure details
  • Dietary restrictions

C. PAYMENTS:

Payments must be made in US dollars to:

Proof of transfer must be sent to:

D. PAYMENT OF COMMISSIONS:

Commission invoices must be sent after check-out.

Required information:

  • Reservation code
  • Guest or group name
  • Travel agency name

Billing discrepancies must be reported within 30 days.

E. POLICY FOR LUNCH RESERVATIONS WITHOUT ACCOMMODATION:

  • 1–10 pax: 14 days prior payment
  • 11–25 pax: 30 days
  • 26+ pax: 45 days

1 free lunch per 15 paying guests (max 4).
Late cancellations: 100% penalty.

F. POLICY FOR CHILDREN:

  • Up to 11 years: free accommodation + half board
  • 12+ years: considered adults
  • Max 2 children per room (except Family Room: up to 4)

G. PROMOTIONAL OR SPECIAL RATES:

  • No free rooms
  • Late cancellation: 100% penalty
  • No upgrades
  • Promotion code must be indicated

H. POLICY FOR FREE ROOMS:

  • 16th guest free (for groups >15)
  • 31st & 32nd free (for groups >30)
  • Max 4 free guests per group

I. COMPLIMENTARY / FAM TRIPS:

Requests must be sent to Sales Department and approved by management.

J. SPECIAL DATES:

Applies for:

  • March 29 – April 5, 2026
  • December 24, 2026 – January 1, 2027

Special dinner mandatory for Christmas and New Year.

K. DAY USE POLICY:

  • Subject to availability
  • Rate: 50% of nightly rate
  • Max stay: 6 hours

ECI: 08:00 – 15:00
LCO: 12:00 – 18:00

L. CHECK-IN / CHECK-OUT:

  • Check-in: 15:00
  • Check-out: 12:00

IMPORTANT:

Confidential rates must not be shared. Violation will invalidate them.
